What information do we collect about you?
We collect information about you when you apply to become a BPS member, either by online or postal application. We may also collect information when you voluntarily contact the society to register interest. Website usage information is collected using cookies and Google Analytics.

How will we use the information about you?
We collect information about you to process your application, manage your membership and, if you agree, to share certain contact information with other BPS members we think may be of help or interest to you. We use your information to keep you informed of the society's activities and events. Occasionally we may inform members about other orchid-related events that may be of interest that are not directly connected to the society. Committee members are required to permit the publication of their email address on the website, in the society Journal and in member communications (if necessary) to permit members to contact them about society matters.
Information collected from the website using cookies and analytics is anonymous in nature and simply provides the society with basic visitor information such as - visitor numbers, new vs returning visitors, country of origin and acquisition(eg. by search, social media, etc). This information is used by the society to ascertain the ongoing interest level in the website and society as a whole, not to profile individuals.
The BPS does not share your information with any third parties.
Online membership payment is handled by Paypal. Please see their own privacy notice and T&Cs for specific information on how they handle contact and transaction details. It may be necessary for the society to contact other financial institutions in the event of a problem with a members payment or concerns relating to fraud prevention.

Who has access to my information?
In line with new GDPR guidelines, handling of applications and members personal information is limited to our web administrator (for facilitating the online applications, payments and email communications) and our membership secretary & treasurer (who keeps and processes the membership and payment records), and the organiser of any virtual meetings and events (eg.Zoom) - currently the vice-chairman. As aforementioned, certain of your contact information may be shared with other members if you have given prior consent.
Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate. If a members membership has lapsed we will remove all their personal information after an appropriate period of time.
